Where Plans Become Reality

The executing process group is where the project team performs the work defined in the project management plan. With 10 processes, it accounts for the majority of the project budget and timeline. This is where deliverables are produced, teams are built and managed, quality standards are implemented, procurements are conducted, and stakeholder engagement is actively managed.

For PMP candidates, executing questions tend to be scenario-heavy. You will see situations involving team conflicts, quality issues, stakeholder resistance, and procurement challenges — and you need to identify the correct response based on PMI best practices.

Direct and Manage Project Work

This is the central process of the executing group. It involves leading and performing the work defined in the project management plan and implementing approved changes. Key outputs include deliverables, work performance data, issue logs, and change requests.

An important distinction for the exam: work performance data is the raw observations and measurements collected during execution. This data gets analyzed in monitoring and controlling processes to produce work performance information and eventually work performance reports.

Manage Project Knowledge

Added in the PMBOK 6th Edition, this process emphasizes using existing knowledge and creating new knowledge. It involves both explicit knowledge (documented and easily shared) and tacit knowledge (personal experience and insights that are harder to transfer).

Tools include lessons learned registers, knowledge management systems, and information management systems. For the exam, remember that knowledge management is an ongoing effort throughout the project, not just a closing activity.

Team Management Processes

Three processes focus specifically on the project team:

• Acquire Resources: Obtain the team members and physical resources needed for the project. This may involve negotiation with functional managers, pre-assignment, or procurement.
• Develop Team: Improve competencies, team interaction, and the overall environment. Tools include team-building activities, training, recognition and rewards, and colocation.
• Manage Team: Track performance, provide feedback, resolve issues, and manage team changes. Conflict resolution is a major topic here.

Conflict Resolution for the PMP Exam

PMI recognizes five conflict resolution techniques, and the exam tests them frequently:

1. Collaborate/Problem Solve: Work together to find a win-win solution. PMI's preferred approach.
2. Compromise/Reconcile: Each party gives something up for a partially satisfactory solution.
3. Smooth/Accommodate: Emphasize agreement over differences to maintain harmony.
4. Force/Direct: Push one viewpoint at the expense of others. Use only when a quick decision is essential.
5. Withdraw/Avoid: Retreat from the conflict. A temporary measure at best.

Quality and Communications

Manage Quality translates the quality management plan into actionable quality activities. It includes process audits and design for X. Note the distinction: Manage Quality is about the process, while Control Quality (in monitoring and controlling) is about the deliverables.

Manage Communications ensures timely and appropriate collection, creation, distribution, and storage of project information. The project manager typically spends 90% of their time communicating, and this process reflects that reality.

Procurement and Stakeholder Engagement

Conduct Procurements involves obtaining seller responses, selecting sellers, and awarding contracts. Manage Stakeholder Engagement involves communicating and working with stakeholders to meet their needs and address issues.
